01 · Challenge

A block maker’s numbers start with sand and cement arriving at the yard and end with blocks arriving at a customer’s site. In between sit production runs, finished stock, quotations and sales. Each step changes what is in stock and what is owed, so when the steps are recorded separately the figures stop agreeing with each other. Chidyaka Quality Blocks, based in Iyumbu, Dodoma, needed every one of those steps to post to the same record.

02 · Strategy

We built the system around a single inventory ledger and made everything else write to it. A production run is not a note about what was made; it is the entry that takes raw materials out of stock and puts finished blocks in. A quotation is not a separate document; it is the start of the sale. That one decision is what keeps the stock figure, the sales figure and the delivery figure consistent.

  • Raw-material receiving for sand and cement deliveries

04 · Outcome

The system is live in production. Purchases, production, stock, quotations, sales and deliveries now tie back to one inventory ledger, so the business has a single answer to what is in the yard and what has been sold.
